Invoices will be an important thing to understand when venturing into my professional practice.
Invoice must include (according to https://www.gov.uk/invoicing-and-taking-payment-from-customers/invoices-what-they-must-include)
- A unique identification number.
- Your company name, address and contact information.
- The company name and address of the customer you're invoicing.
- A clear description of what you're charging for.
- The date the goods or service were provided (supply date).
- The date of the invoice.
- The amount(s) being charged.
- VAT amount if applicable.
- The total amount owed.
Sole Trader Invoices:
If you are the sole trader then the invoice must include additional factors such as:
- Your name and any business name being used.
- An address where any legal documents can be delivered to you if you are using a business name.
Limited Company Invoices:
If the company is a limited company then they must include the full company name as it appears on the certificate of incorporation. If the named directors on the invoices are required, all names must be included.
VAT Invoices:
If you and your company is Vat registered then VAT invoices must be included. More information is required if this is applicable.
My past experience when using invoices:
When arranging my previous exhibition last academic year for collaborative photography. I was asked to handle the prints from another student who took photos of the group socialising in colour A3 shots. I spoke to the Stockport veterans event manager after I ordered and set up the additional prints, I was informed that I would be reimbursed by the financial lead, Amanda.
I was required to create an invoice for her to issue the reimbursement. This was my first time creating an invoice, I used a template to guide the process.
Below is a copy of the invoice that I sent.
When reflecting on the required information for invoices, my previous example is not up to the standard needed. I did not know the requirements when conducting this invoice, going forward I now know what is needed therefore it will be handled correctly.
